MSP Client Onboarding Guide
Most MSPs disappear after the contract is signed. The client hears from the owner during the sales process, then never again. The first person they deal with is a technician closing a ticket. The relationship that generated the sale is gone.
Client onboarding is not an operations function. It is a marketing function. The experience a client has in the first 30 days determines whether they stay for three years, refer their colleagues, and expand their contract — or whether they feel like they made a vendor switch, not a partnership decision.
The 30-Day Onboarding Timeline
Contract Signed
Send the welcome kit
Digital delivery within 24 hours. Team bios, 30-day roadmap, key contacts, escalation path, and what the first week looks like. Sets expectations before anxiety sets in.
Owner-led relationship call
20 minutes. The owner is on the call. One question asked: "What's your biggest concern right now?" One specific next action committed to. This call does not happen at most MSPs. That is why it works.
First week summary
A brief email from the owner: what was completed in Week 1, what is in progress, anything the client should know. Two paragraphs. Not a ticket summary — a business update.
Proactive check-in call
You call them. Before they call you. Three questions: what's working, what could be better, what's changed in their business. Book the first QBR at this call. The surprise of being called proactively is the loyalty.
What Goes in the Welcome Kit
Step 7 of the 3Cs Framework maps your complete onboarding sequence — welcome kit, Day 1 call, Day 30 check-in — into your custom 90-day plan.
