MSP Email Marketing Guide
An MSP with a 2,000-person email list and an 11% open rate was getting zero replies. Not because the list was bad. Because the emails read like they came from a CRM template, not a person. Three emails into a rewritten welcome sequence, they booked four discovery calls in a week.
MSP email marketing fails for one reason: it tries to look like marketing. The emails that generate replies feel like they were written by someone who knows the reader's situation and respects their time. Plain text. Short. One point per email. One CTA.
The 4-Email Welcome Sequence
Every new lead enters the same sequence. It runs automatically. It does not sound automated.
Send immediately
Email 1 — Deliver and introduce
Deliver the lead magnet. Introduce yourself in two sentences. Tell them what's coming next. No pitch. Subject line: the title of the checklist or resource they just requested.
Email 2 — One insight, no pitch
One thing your ICP should know that most of them don't. Compliance angle, security risk, industry-specific observation. Proves you understand their world. No CTA except "reply if you have questions."
Email 3 — One result
A client outcome, anonymised if needed. Problem before, solution, result after. Keep it under 150 words. Ends with: "If you're dealing with something similar, I'd be happy to take a look."
Email 4 — Direct invitation
Invite them to your next Lunch and Learn, webinar, or a 20-minute call. One link. One ask. Clear subject line: "Invitation: [event name or topic] — [date]." This is the email that books calls.
Benchmarks for MSP Email
If your open rate is below 20%, the problem is either list quality (too many cold contacts who never opted in) or subject lines (too generic). Fix the subject lines first — they are the only thing that determines whether the email gets opened.
What to Actually Write
Plain text outperforms HTML for MSP audiences. No header images. No column layouts. No "click here to view in browser." Your prospects receive enough designed newsletters. An email that looks like it came from a person stands out.
Subject lines: specific and honest. "The compliance question most law firms get wrong" beats "Our monthly newsletter — March edition" every time. If the subject line could apply to any industry, rewrite it.
Length: 150–250 words per email. One point. One CTA. If you find yourself writing more, you are trying to say too many things in one email. Break it into two.
Step 4 of the 3Cs Framework includes a custom email sequence mapped to your ICP and built into your 90-day plan.
